Items in the Vietnam Archive do not circulate. Researchers may use our materials in the reading room or through the Virtual Vietnam Archive. We can provide duplicates in a variety of formats. Pricing varies depending on the amount and type of material being reproduced and the format of the reproduction. The prices listed below are for small orders. Prices may increase for larger orders due to staff time, cost of material and shipping charges.

When requesting duplicates, patrons must supply the Archive with a list of item numbers and document titles.

Information for Donors

Donors may receive CD or DVD Rom copies of their own collections free of charge at their request. However, due to the high number of archival donors and collections in our scanning queue, we cannot offer any timetable as to when digital copies will be sent.

Requesting Photocopies

Patrons may request photocopies of materials not available through the Virtual Vietnam Archive. Requests must include the collection title, box number, folder number, and document title when available. Patrons requesting materials from the Douglas Pike Collection must also include the unit number.

Costs for Photocopies

$0.20 per page for photocopies of material NOT available through the Virtual Vietnam Archive.

$0.30 per page for photocopies of material that IS already freely available through the Virtual Vietnam Archive.

(Patrons who visit the Vietnam Archive may make their own copies of materials. Prices are $0.20 per 8x10 copy, $0.30 per 11x17 copy.

Requesting copies of materials in digital formats

When requesting copies of digital documents, images, or other files to be copied to CD Rom or DVD, patrons must provide the Vietnam Archive with a list of item numbers and document titles in sequential order. Such lists can be submitted via email or online reference request form. Patrons should supply separate lists for different media types, i.e. a list for documents, a list for images, a list for audio recordings, etc.

Requests for custom rescans of already digitized materials will be assessed in addition to those listed above. The amount of the additional charges will be determined for each request.

Costs for digital materials to be copied to CD-Rom

• $5.00 per disc plus:
• $0.25 per digital photo (300 resolution .tif or .jpg)
• $1.00 per audio or moving image file
• $1.00 per map or poster sized item (larger than 11x17)
• $0.10 per document (200 resolution .pdf)

Moving Image Collection Requests

DVD/DVD Rom

This format can be used for large moving image files, audio files, and large numbers of document and still image files.

• $10.00 per disc plus:
• $1.00 per audio or moving image file
• $1.00 per map or poster sized item (larger than 11x17)
• $0.25 per digital photo (300 resolution .tif or .jpg)
• $0.10 per document (200 resolution .pdf)

BetaSP or MiniDV

• $20.00 per tape plus:
• $1.00 per moving image file

Map and Poster Requests

The Vietnam Archive can provide full-sized printed reproductions of maps, posters, and other oversized materials in our collections. We can also provide digital copies of these materials on CD Rom or DVD (please see digital material policies and costs above).

Due to the type of ink used by the Vietnam Archive's large format printer, printed copies of maps and other large items purchased from the Archive may fade over time, particularly when exposed to light.

High-quality copies of many of the AMS series maps for Southeast Asia can also be purchased through the United States Geological Survey (USGS) online store. Click on "Enter USGS Store," then "Foreign Maps & Books (non-USA)," and then the country you are interested in. Prices vary from $7.00-$20.00.

Requesting Copies of Analog Recorded Materials (VHS Video or Audio Cassette)

The Vietnam Archive can provide analog copies of all non-copyright moving image and audio recordings.

Microform Requests

Please submit a reference request if you would like to inquire about obtaining copies of materials available only in microfilm or microfiche format.

Delivery Time

Patrons can expect to receive requests for fewer than 50 items within two weeks. Requests for more than 50 items may take two to four weeks.

Credit Card Orders

Check Orders

Please send checks made out to the Vietnam Archive or the Vietnam Center to the address listed at the top of this page.

International Orders

Beginning April 13th, 2006, patrons will be required to pay for their own shipping for international orders.

International orders will be shipped by FedEx International. Costs may vary depending on the weight of the shipment.
